No more 50 classes cards, 100 classes cards, students, volunteers and regular cards! From now on we’ll have 2 new cards:
1) Drop-in Card
2) 8 weeks courses card

Drop-in card is partly similar to that we’ve had before. Frond side of card has:
name of dancer (please write it with capital letters so everyone could easily read it later)
date of purchase
box to mark a status of dancer (regular, student, volunteer)
There’s no special cards for students and volunteers. Only 1 card for everyone.
Example: Jane Doe, regular dancer, card from 10th of September 2024
Back side of Drop-in Card is new. You’ll need to mark:
how much a dancer paid for this card (normally it should be €30, €60, €90 or €120, but it might be another sum with a promise to pay next time the rest)
how did a dancer pay (no changes here: cash, card - bank transfer, card - payconiq)
is there anything left to pay (example: paid €100, €20 to pay next time)
refunds

Example: for this Drop-in Card a dancer paid €30 with bank transfer (card)
Example: for this Drop-in Card a dancer paid €90 with bank transfer (payconiq), and then asked for refund €55 , refund was given with cash
How much does drop-in card cost? €30, €60, €90, €120. Dancers can come to as many classes as it covered by the sum they have paid.
There are 4 lines in the table, each line is equal to €30:
Not paid lines we need to cross out.
Example: for this Drop-in Card a dancer paid €30, we cross out 3 lines and keep only 1 line empty.
NEW! In our previous cards we marked a present of a dancer in the class. In our new card we mark a price of class for this particular dancer. Each cell is equal to €5 (NOT ONE CLASS!).
Depending on a status of dancer, we need to mark from 1 to 4 cells with “date + name of class”.
Example: regular dancer took 1 hour Lindy Hop class. We mark 3 cells with date and name of class. 3 cells = 3*5 = €15
Example: student took 1 hour Jazz class. We mark 2 cells with date and name of class. 2 cells = 2*5 = €10
Example: regular dancer took 2 hours of classes, 1 Lindy Hop and 1 Jazz. We mark 4 cells with date and name of class. 4 cells = 4*5 = €20
Example: student took 2 hours of classes, 1 Jazz and 1 Lindy Hop. We mark 3 cells with date and name of class. 4 cells = 3*5 = €15
Example: volunteer took 2 hours Special class. We mark 4 cells with date and name of class. 4 cells = 4*5 = €20
Example: regular dancer took 1 hours LH class. And then he/she decided to stay for Jazz class too. First we mark 3 cells, then we add a mark in 1 more cell. 3 cells = 3*5 = €15 + 1 cell = 1*5 = €5, total €20.
What do we write in report?
1) Payments: same we did last year. For example:
Dancer paid €30 in cash: 30
Dancer paid €120 by card: c120
Dancer paid €45 by Payconiq and have left €15 euro to pay next time: c45 + comment “01-09-2024 – to pay 15 next time”
2) Classes: mark “p” and the price of this class. For example:
Regular dancer came to 1 hour LH class. Price is €15. In report you write: “p15”.
Regular dance decided to stay for second (Jazz) 1 hour class. Price is €5. In report you write: “p5”
Student came to 1 hour LH class. Price is €10. In report you write: “p10”.
Student decided to stay for second (Jazz) 1 hour class. Price is €5. In report you write: “p5”
Volunteer came to 2 hours Special class. Price is €20 . In report you write: “v20” (not p20!)
Teacher came to 1 hour class. Price is €15. In report you write: “t15” (not p15!)
What if someone wants a refund? Yes, it’s possible. In report you mark a class and then you add a sum of refund. Example: Jane Doe wants to pay €20 with Drop-in Card for 2 hours class, and she wants a refund in cash for the rest of what’s left of this card (let’s say, it’s €35). In report you write: “Jane Doe: r: p20 -35”. No extra marks needed.
What if someone wants to pay for another person? Yes, it’s possible. All marks in report go with this “another person” like it was he/she paid for him/her selves. Example: Jane Doe wants to pay €15 in cash for 1 hour class of her friend James Bond. In report you write: “James Bond: r: 15”. No extra marks needed.
What if a dancer has “courses card” and want to come to some other class? Advise him/her to get a Drop-in Card or to pay for this class only. We can’t use “courses cards” to pay for another classes.
Old BSDC cards
Yes, we take all cards of any previous years. Marks in the report remain of the same as it was before (r8, s10 etc).
NEW! We need to mark as many cells as it’s needed to cover new prices. With regular dancers it shouldn’t be a problem (€20 for 2 hours class remain the same “r4 r5”). But with students it’ll be tricky (€10 for 1 hour class, which we can’t mark with 2 cells, as 2 cells = €8; €15 for 2 hour classes we can’t mark with 3 cells, as 3 cells = €12). That’s why there' will be some discounts for them: 2 cells = €10 class = s2 s3; 3 cells = €15 euro = s3 s4 s5.
What if there’s not enough cells in old card to pay for a class? Mark all old cells and ask to buy a new Drop-in Card. Example:
regular dancer is paying for 2-hours class with old card, but there’s only 1 cell left in it. She pays €90 in cash for new card and use it to cover the rest. In report you mark: r10 90 p10.
student is paying for 2-hours class with old card, but there’s only 2 cells left in it. He pays €30 in cash for new card and use it to cover the rest. In report you mark: s9 s10 30 p5.
8 weeks Courses card
It’s a new type of card with printed dates of 8-weeks courses. We hope that new dancers will buy it for new groups of Beginners and Beginners Intermediate classes. We won’t take this card for any other classes.
How does it work? Dancer buy a card with printed dates of classes. He/she drops the card on admin’s table, we circle a date of class. In report we mark: 120 p15.
What if someone wants a refund? Yes, it’s possible. You give this person back what he/she asked and mark in report “-55” (or any other sum) plus mark of this class. So all together it’ll be: “-55 p15”
What if someone has a LH course card and wants to stay for Jazz class? Yes, it’s possible. This person has to pay 5 euro (cash, card or Payconiq), in report we mark “p5”. We don’t mark anything in 8weeks LH course card, as it’s not for Jazz classes.
